TERMS AND CONDITIONS

Renting Space for Events

1. FACILITY:

• Adhere to all rules and regulations including all fire and safety regulations.
• The Conference Room must not be used for any illegal purposes.
• Payment of all fees due will permit the Renter and their guests the use of the conference room and restrooms only.
• Renters are not permitted the use of designated office spaces.
• Renters must make it clear that parents/guardians must supervise and always accompany children .

2. BOOKING:

• Tentative bookings are not permitted.
• The Conference Room is not considered booked until the Rental Agreement is signed by the Renter and 50% of the down payment received.

3. DAMAGES PROPERTY AND EQUIPMENT

• A walk through will determine the condition of the conference room by both parties, renter, and One Cup/One Voice (before and after) on the day of the scheduled event. Renter shall be responsible for expenses associated with excessive clean-up of event space, payment of and/or replacement of damaged equipment.
• Any equipment that One Cup/One Voice does not provide should be arranged by the renter. One Cup/One Voice will not set up, maintain, or troubleshoot any outside equipment and is not responsible for damages associated with it.

4. CANCELLATION:

• In the event of cancellation, the Rental Fee will be retained as follows:
• 7 days’ notice or less---Full Rental Fee
  
• 20 days’ notice---50% of Rental Fee
  
• 30 days’ notice---25% of Rental Fee
  

5. PARKING

• Renters, their authorized guests shall not use or allow use of the One Cup/One Voice Parking lot for any activity other than parking insured vehicles.
• Renters and guests bear full responsibility for all vehicles and contents.

6. RESTRICSTIONS

• Nothing may be pinned, nailed, or stapled to any wall, door, ceiling, or floor.
• Smoking is NOT permitted anywhere in the One Cup/One Voice Conference Center or within 50ft. of the building at any time.

7. ADDITIONAL SERVICES

• Additional services will be billed to the address provided. Additional services may include, but are not limited to, photocopying and additional supplies.

8. CATERING AND ALCOHOLIC BEVERAGES

• No food and beverage may be brought into the facility!

9. INDEMNIFICATION

• Renter agrees to indemnify and hold harmless One Cup/One Voice; its officers, board of directors, and employees, and incur and assume responsibility from all actions, losses, damages, claims, or liability that may occur as a result of the holding of the scheduled event.

10. AMENDMENTS TO CONTRACT

• All points not covered herein are subject to settlement by One Cup/One Voice and One Cup/One Voice reserves the right to make such changes, amendments, and additions to this contract.
• If legal action is required to enforce this contract, the prevailing party is entitled to recover reasonable attorney fees, administrative costs, costs of court and any other expenses incurred in enforcing the contract. This agreement shall be governed by and construed in accordance with the laws of the State of West Virginia, County of Wyoming. Venue for any action under this contract shall be in Pineville, Wyoming County.
